Parent Group Decision Making Process Proposal
Governance at Parent Meetings
- Suggested items for the next meeting should be submitted to the Facilitator early enough for him/her to compile and create an agenda.
- Agenda is announced prior to each meeting (printed in Weekender before meeting and through email announcement.)
- Reminder of upcoming meeting by a phone tree (generated by class parent.)
- Supporting information on discussion topics will be distributed to parent body one week prior to meeting (via email.)
- Decisions will be made by consensus of parents in attendance, however if parent is unable to attend then they can send a written proxy.
- Decisions regarding school policy or parent group policy require a quorum of parents, which reflects 25% of the full time enrolled students (written proxies count towards quorum.)
- Routine decisions such as, fundrasing options will be based on a consensus of the parents present at the meeting (quorum is not needed.)
- Items that effect school policy or parent group policy, which are brought to the floor during the meeting will not be voted on until the next meeting.
- Facilitator should be an annual commitment.
- Meeting minutes will be recorded and submitted to parent body within one week of each meeting.
- Minutes approved at next meeting by at least three parents, to assure accuracy.
- Parent Body meetings will be held monthly (August – May)
- Meetings are up to 2 hours in length with the understanding that the facilitator has the discretion of extending the length if necessary.

Assurance of representation:
- In order to assure that there is an adequate representation of the parent body sitting on the policy making bodies of the school we suggest that there is a finite number of school committees each parent sits on yearly (perhaps 1-2 committees.)
Class Parent Selection:
- Last year’s Class Parent (CP) will call a meeting of their class of parents (9th, 10th, 11th and 12th grades) to decide who will be the new class parent for that class.
- Before this meeting, last year’s CP will distribute CP job description to all parents in class. Anyone interested in holding the Class Parent position should submit his or her name prior to meeting.
